Watermark ID Copies Before You Hand Them to Anyone

The broker wants a PAN copy and both sides of an Aadhaar for the rental agreement. You send them on WhatsApp because that is how it works, and the file now sits on a phone you do not control, in a chat that gets forwarded, backed up and eventually sold with the handset.

You cannot refuse to share the copy — no agreement gets registered without it. What you can do is make that particular copy obviously useless for anything except the one purpose you handed it over for. A line of text across the page saying who it went to and why, dated, does that. It costs about ninety seconds.

Why the purpose line works at all

Nobody misuses a document copy on the spot. The risk is later: a scan that is still sitting in a folder eighteen months on, picked up by someone who has no idea where it came from and every reason to submit it somewhere as a fresh KYC document.

A copy carrying "FOR RENT AGREEMENT ONLY — 24/08/2026" across the face of it fails that second use immediately. Anyone checking it can see it was issued for something else, on a date that has nothing to do with the application in front of them. Bank branches and telecom outlets have accepted marked self-attested copies for years for exactly this reason; putting the mark on the digital file rather than scribbling it on a photocopy simply means it survives being forwarded.

Getting the copy into a PDF first

Most people have photos, not a PDF. Two pictures of an Aadhaar card taken on a phone, one of a PAN card, sometimes a passport page.

Turn them into one document before you label them, using Images to PDF. Both sides of the card become pages one and two of the same file, and the watermark step then covers both in a single pass — the text is applied to every page of the file automatically, so a two-page ID copy gets two marks with no extra work.

Take the photos flat, in daylight, with the whole card in frame. A crooked photo taken at an angle stays crooked in the PDF, and if the person receiving it has to squint at your document they will ask for an unmarked one.

Writing the line

Open the PDF Watermark tool and drop the file in. Ignore the five preset chips down the top — CONFIDENTIAL and DRAFT are not what this document needs. Type your own text in the box below them.

The wording that works has three parts: the recipient or the purpose, the word ONLY, and the date.

Write it in English capitals. The watermark is drawn using the Helvetica Bold that is built into the PDF format, and that font covers Latin letters, digits and basic punctuation only — a line typed in Hindi will not export at all.

Keep it short for a mechanical reason too. The text is drawn as a single unwrapped line, so a long sentence at a large size simply runs off both edges of the page. At 28 pt, roughly thirty characters is the practical limit on an A4 page. "FOR RENT AGREEMENT ONLY 24/08/2026" is thirty-four characters, which needs about 26 pt or a diagonal angle to fit comfortably.

The settings for this particular job

A KYC watermark is not a subtle branding mark. It has to be legible after the file has been forwarded, screenshotted, printed at a shop and photocopied twice.

That last row is the one people get wrong. It is tempting to place the line in the white space at the bottom so the card stays pristine. Do not. A mark sitting in the margin is removed with a crop tool in about four seconds. The line has to overlap the card itself — ideally crossing the photograph and the printed details — so that removing it damages the thing being copied.

Drag it into position on the live preview. The tool shows the real first page with your text on top of it, and the position you set is stored as a percentage, so it lands in the same relative spot on the second page as well.

Be honest about what this does and does not do

It deters. It does not protect.

Someone determined, with any image editor, can paint the line out — particularly if you left the opacity low and the text sitting over a flat white background. That is not a theoretical risk: lifting a faint text watermark back off a PDF is a solved problem, and there is a watermark remover on this very site that does it in a few seconds. Which is the actual argument for 45% opacity over 15%, and for putting the line across the printed content rather than the empty margin. A mark that overlaps dark text and a photograph cannot be lifted cleanly — whatever removes it takes a chunk of the card with it.

The other honest limit: this does nothing to stop the file being opened. Anyone who receives it can read every digit on the card. If the document should not be readable by whoever else has access to that phone, the answer is a password, not a watermark. Send the password by a different channel — a phone call, not the same chat.

The full sequence

1. Photograph the documents flat, in daylight.
2. Combine them into one PDF with Images to PDF.
3. Open the PDF Watermark tool and load that file.
4. Type the purpose line with today's date.
5. Set size around 26 pt, opacity 45%, rotation 0°, colour red or grey.
6. Drag the text so it crosses the card, not the empty space beside it.
7. Apply, then download the file that comes back named with a _watermarked suffix.
8. Check the second page before you send anything.

Step eight matters. The preview only ever shows page one, and the same percentage position on a portrait scan of a PAN card and a landscape photo of an Aadhaar can land in visibly different places relative to the printed details.

Two things worth setting up once

If you hand over document copies often — a shop taking KYC for gas connections, an agent processing loan files, anyone dealing with a steady stream of applicants — the effort is in retyping the line each time, not in the tool. Keep a small text note on your phone with the four or five wordings you use, so it is a paste rather than a typing job.
